Quality document request guide

Your quality document request may concern a foil tray, its lid, or just the printed surface. We can review the file you need against that specific item and the market where you plan to use it.

If you already have a checklist, you can send it as it is. A product reference and your deadline give us a place to start, even when some specifications are still open.

Ask about your documents

A tray and its closure may need different supporting documents.

Which quality document do you need?

The file depends on what you are trying to confirm. A factory certificate, for example, does not answer the same questions as a document for a particular tray and lid.

Your reviewWhat the document should addressReference to include
Food contactThe exact component and intended use covered by the requested declaration or supporting file.Tray or lid reference, food-contact side, food type, use conditions and destination market.
Sample approvalThe sample version and the points you are approving, such as lid fit, a print proof or carton marks.Sample photo or drawing, revision, outstanding checks and the decision you need to make.

Unsure which file applies? The quality and documentation overview covers the broader review.

What does your document request cover?

A tray, lid and printed surface can have different materials and uses. Knowing which part you need reviewed helps us keep the answer specific to your pack.

Aluminum tray body

The tray reference, dimensions and food-contact side identify the item under review. Food type, storage and reheating conditions describe how you intend to use it.

If a lid is part of the pack, its material and reference belong in the request too. A tray document alone does not describe that closure.

Lid, film or closure

For your closure, we need the material or film reference alongside the matching tray. The rim, food height and intended use can matter when reviewing the combination.

You can include a photo of the closed pack. For a physical fit question, see the foil lid fit guide.

Print, coating or color

The artwork version, printed side and coating identify the surface you want reviewed. A color proof and a food-contact question are separate approval points.

If your artwork or coating has changed, the previous file needs to be checked against the new version.

Carton, label or item code

Your carton mark needs to match the order reference and packing quantity. Destination and pallet requirements also belong with that shipment.

The carton specification checklist covers those packing details without expanding your document request into a full quotation.

A repeat order with changes

An old order reference is useful, together with what has changed. A different lid, artwork, carton or destination may call for a fresh document review.

If the sample has also changed, the sample approval checklist helps you compare the versions before approval.

Your quality document request

You do not need a formal technical letter to ask. Your own checklist or a short message is fine. Where a detail is undecided, we would rather know it is open than work from an assumed specification.

A photo is useful when you do not have an item code. If you are also preparing a quotation, you can add it to the quote configurator.

Before you approve the quality documents

The document and the sample should refer to the same version. These are the points worth checking when a file arrives or a previous order is used as a reference.

Item and revision
The tray, lid, artwork and sample references should identify the combination you intend to order. An earlier approval may concern a different lid or print version.
Scope of the answer
Lid-fit approval describes fit. A print proof describes the artwork. Neither, by itself, answers every material or food-contact question about the pack.
Open points
A pending coating, destination or packing change should stay visible in your correspondence. We can review that change before treating earlier wording as final.

For U.S. background, the FDA's food-contact substances information includes component status and conditions of use. It is general guidance, not evidence that a particular Qixin item has been approved.

What file are you waiting for?

You can send us the requirement exactly as you received it, with the tray or component reference and your destination market. Let us know when you need to review the document and which details are still undecided.
